If you have a class with a flexible pattern, e.g., on Mondays it meets from 1 to 3 pm, and on Wednesdays from 1:30 to 3:30, you can create a prototype. (The same prototype can be used for other classes with the same pattern.)

  • In the "Flexible/Special Schedule" area, click on the "open" icon.
  • In the Special Schedule screen, type in the name of your prototype (any name to identify this group of days/hours, but don't use the days-of-the-week patterns already in ASAP). If this is the same pattern for the entire date range that the class meets, select Week 1. If there is a rotation every two, three or four weeks, select one of those numbers for the "Week#" field.

  • Type in the weekday, start and end times (remember to enter a "p" or "a" for morning or afternoon.) On the next line, enter the same prototype name, the next weekday, start and end times in the pattern.
  • Continue entering all the days and times for this prototype.
  • When done, click on a "Pick" button next to any of the days. The prototype will automatically be entered in the "Special Schedule" area of the Section Details screen.
  • Put a check-mark next to "Use this Schedule" in the "Special Schedule" area, and click on the "Schedule Section" button.

An alternative way of creating special schedules, especially if you need to insert random schedules where a class has already been scheduled, is through the "Weekly Schedule" screen.

  • First, make sure you have entered a beginning and ending date, a days pattern and a beginning and ending time.
  • Click on the "Weekly Sched" button.
  • You can choose up to 4 weekly cycles: if each week has the same pattern, choose 1; if there is a different pattern for each week, choose 2, 3 or 4, depending on the duration before the cycle repeats itself.
  • The date range will default from the section screen. If the special schedule is of shorter duration than the entire schedule, enter the beginning and ending dates that will apply.
  • Now enter the beginning and ending times for each day. (It is OK to leave days blank if they are not being scheduled.) When done, click the "Schedule Section" button.

MULTIPLE TEACHERS / DIFFERENT TIMES/SAME DAYS FOR SAME SECTION (B) These instructions would be appropriate for a class that has a different teacher in the mornings than in the afternoons. These instructions are for 2 teachers but the same instructions are applicable for as many teachers as you need to schedule for a particular section. When scheduling this way, you are not using the Schedule Section button (in the Section Details window) that you normally use.

  • 1. From the Section Details screen, click Pick Teacher.
  • 2. From the Personnel Name drop down, select the additional teacher you want to use for this class (you can also just begin typing the first letters of the last name of the teacher you are searching for).
  • 3. Select one teacher to be the “Main Teacher” (it doesn’t matter which one you select)
  • 4. Click the close button.
  • 5. From the Section Details screen, type the Day Pattern that you will be scheduling.
  • 6. Click Weekly Sched.
  • 7. Make sure the date range that you are working with is accurate.
  • 8. Select the first teacher you are working with.
  • 9. Verify the start and end times for each day that you are scheduling.
  • 10. Click the Schedule Section button. You will be brought back to the Section Details window.
  • 11. Make sure that the day pattern is still correct.
  • 12. Click Weekly Sched.
  • 13. Make sure the date range that you are working with is accurate.
  • 14. Select the next teacher you are working with.
  • 15. Type the start and end times for each day that you are scheduling.
  • 16. Click the Schedule Section button.
  • 17. Click Edit. This will keep the days/times that you scheduled in steps 7-16 and also schedule these new days/times. This will take you back to the Section Details window. Do not click the Schedule Section button again.
  • 18. Click View Schedule to see the schedule that you just created.

SINGLE OR MULTIPLE TEACHERS / ADD A SINGLE DAY TO THE SCHEDULE / SAME SECTION (D)

These instructions should be used to add a single day to an already scheduled section. This is useful if you have a class that meets MTWTh and on one, single Saturday. These instructions would allow you to add that one day of the week (in this case, a Saturday).

  • This section is scheduled MTWThF from 8:15AM to 12PM. We need to add a Saturday to this schedule.
  • Select Edit Schedule.
  • 3. Select Edit Schedule again.
  • 4. Click on the add new record icon.
  • 5. Select the Date that needs to be added.
  • 6. Type the From and To times.
  • 7. Select the Room for this newly scheduled date
  • 8. Select the Teacher for the newly scheduled date.
  • 9. Click Close.
  • 10. Do NOT click the Schedule Section button again.
  • 11. You will be taken back to the Edit Schedule screen. Note that the new date has been added to the schedule.
If the class has more than one teacher, the teachers can either be scheduled simultaneously by choosing all the teachers and then clicking the "Schedule Section" button, or individually by choosing one teacher at a time before clicking the Schedule button.

When you use the "Weekly Schedule" feature described above, you can schedule all the teachers for the class or, if they have different schedules, choose an individual teacher by clicking in the "Schedule Teacher" box next to her name, type in the beginning and ending times for her session, schedule the section, and then repeat for the next teacher.

If you need to reschedule a class, enter the new field that has to be changed, such as the date(s), time(s), teacher, etc., and click the "Schedule" button.

The schedule you had before will be wiped out, and the new schedule will take effect.

  • Section already has attendance: You can only reschedule from the first available date on which there is no attendance
  • Using a past date as the beginning date: The program will override this and tell you it is scheduling from the first date without attendance to whatever ending date you had entered
  • Outstanding attendance sheets: Because the rescheduling will affect the meetings on the outstanding sheets, you must cancel the sheets and print them again. When the message appears, click Yes to cancel the sheet(s) and schedule from the first nonattendance day forward or click No if your new schedule will not affect the sheets
  • Click on "Delete Schedule" button

PDF version

Click on "Edit Schedule"

  • 1. Existing attendance records: You can only make changes from the first non-attendance date forward
  • 2. Outstanding attendance sheets: You can cancel the sheet(s) if the changes are during the time frame of the printed sheets. You can choose not to cancel sheet(s) if the changes will not affect attendance taken on the sheets.
  • 3. Removing a meeting or meetings: Right click on the gray square at the far left of the record(s), press "Delete" key
  • 4. Change the class day, date or beginning/end times: Highlight the field you want to make a change and type over it.
Note: do not press the "Schedule" button again. If you do, it will simply reschedule the class with the same information that you've entered on the section screen.
